eGrades CSV Grade File Import Instructions

For Instructors and TAs

The Instructor of Record, Department Chair, and Department Vice Chair have the capability to import grades for a course via a .CSV (or comma delimited .txt) spreadsheet.

Here are the steps for importing a .CSV (Comma Separated Values) grade file in eGrades:

  1. Download the Class List

    1. Open the course gradebook in eGrades and click on the 'Download Classlist' button, followed by the 'Continue Download' button. This will download the file in a .CSV file format.

  2. Enter the Grades

    1. Once the file has downloaded, enter the earned grades into the 'Grade' column. Grades are expected to be in the 3rd column and will not be properly imported if they are inputted into any other column. The heading of the columns on the spreadsheet doesn't matter to eGrades, but the order of columns is very important.

    2. eGrades will ignore all columns after these 4:
      | Enrl Cd | Perm # | Grade | Final Units* |

      1. *The 'Final Units' column is for variable unit courses

  3. Save the File

    1. Click on the 'File' menu, then 'Save As'.

    2. Choose a location on your device to save the file.

    3. Keep the 'File name' as is.

    4. In the 'Save as type' drop-down menu, select 'CSV (Comma Separated Values) (*.csv)'

    5. Click 'Save'.

    6. Select ‘OK’ if the following message displays: "The selected file type does not support workbooks that contain multiple sheets."

    7. Select ‘OK’ if there is a message that states that you will lose some features when saving to a .csv file format (your original excel file will not be changed).

  4. Import the File

    1. Navigate to the course gradebook in eGrades and click on the 'Import Grades' button, followed by the 'Browse' button and select the file that you just saved. *Ensure that it is in a .CSV or a comma delimited .txt file format.
