Timecards

All Graduate Students employed in salaried Academic Student Employee (ASE) and Graduate Student Researcher (GSR) positions are required to fill out and approve their timecards in Kronos. It is the student’s student's responsibility to ensure that the their PI approved their approves timecards in a timely manner. Teaching Assistant Assistants and Graduate Student Researchers do are not need required to log hours worked. Paid or Unpaid unpaid time off should must be pre-approved by your PI /or Instructor of Record. be Staff Graduate Advisor may request that you complete one for data-tracking purposes.

GSRs are notified of their eligibility for specific available Personal Time Off (PTO) days under in the 'Personal Time Off
' section of their Written Notice of Appointment offer letter. PTO days are prorated at 1 PTO day
per month of their the appointment. . Ex. If For example, if you have a 3-month appointment, you will have 3 days of
PTO you can use PTO days available at the beginning start of your appointment.

Unlike GSRs, TA ASEs are not provided PTO days. Any unpaid time off that is taken will need to must be entered into Kronos, and the time will be deducted from your paycheck. A TA An ASE with a 50% appointment who has worked 20 hours in a given week does not need to report any time off, regardless of whether work was performed on a particular day.

Time off Entry
PTO or Unpaid unpaid time off are is earned and taken in full-day increments by adding 8 hrs hours for that day. When adding entering time off, select the correct appropriate option in the “Pay Code” Column 'Pay Code' column for the day you would like wish to selecttake off.

ASE: ASE Unpaid Time Off
GSR: GSR Paid Time Off for the allotted PTO, GSR Unpaid Time Off if the Paid time off has been exhausted.
After selecting the correct pay code, enter “8” into the amount column for every day taken as time off.
Click “save” in the top right corner to save your changes.
At the end of the month, login and approve your timecard using the button in the top left side.
